How To Get An Accurate Website Estimate- Inquiry Examples

As a service business, we rely on our website to serve as a gateway for new business. In addition to providing comprehensive information about us, one of our primary website goals is to motivate potential clients to submit our online Inquiry Form. We average about 20 inquiries a month via the website.

We’ve noticed quite the range of inquiry types over the last few years ranging from hyper-specific to uber- vague. The inquiry is the first point of contact for both of us – client and agency. We’re exploring some of these examples below so you can understand what pieces of information we need to give you an accurate estimate. 

 

Website Inquiry Assessment = BAD prospect

Our Take:

  • Description is far too generic and lacks critical details. Online education websites can be very complex to build. In order to quote this accurately, we would need more specific requirements. 
  • An estimated cost could range from $10K  to well over $70K, all depending on what she needs exactly.

Our Take:

  • The desired budget is way below what it would cost to build a competitor to Match.com. This person has unrealistic expectations (“like Match.com but better”). We would need to educate this client on the best strategy required to execute their goals. For example, there are many dating templates available, so we don’t need to build this from scratch. We would need to investigate and compare the templates with the features he wants.
  • An estimated cost for this could be $25K – $70K+. Also, he wants an “App.” App development could easily add an additional $10K – $30K+ to the project budget.

Our Take:

  • Client has provided good basic information and an existing URL.
  • Appropriate budget range selected.
  • The notes provide us with enough information to understand basic requirements. This client also displays a tech-savviness that indicates they’re already a seasoned executive with a tech background and will understand what’s needed to proceed.
  • We estimated a price range: $15K – $22K

Notes: We are a regional engineering firm with 35 offices in seven states. Our Telecom group based in New York would like to develop a website for use by our clients and their tenants. We currently have approximately 70 clients and on average each client has three telecom sites. Each telecom site has an average of three tenant installations.

Our intent would be to develop a basic format for client information and have a landing page for each client. Within each client page we would need to store documents on a project related basis. Our telecom team would need to maintain the site and add new pages as each tenant creates a new project.

The biggest issue we see is site security. We will need to share portions of each project with as many as seven different vendors. Each vendor would require access to some of the project documents but would have to be excluded from others. We would need the ability to turn access on/off on a project basis as well as within the project.

The site should be secure with password login required. We do not need to advertise or have SEO. Long term we intend to use the site to store client documents such as leases and other proprietary project documents.

We had a WordPress site in development with a company that was due for completion on July, 2016. They provided an estimate of $2,000 but abandoned the project on June, 2016. Based on the original completion date provided by this vendor we began to contact our clients in preparation for a late summer launch.

Part of our 2016 Business Plan called for the development of a website so we could assume site management duties from our clients. Before we can implement that aspect of our business we need a platform that allows us to share site/project documents with our client. Obviously that is on hold until we can re-start the entire process.

We have a RFQ with specifications for the site.

  • Lots of information provided and it gives us a good idea of where they are now and where they want to go.
  • Alert: the proposed budget for what they want to accomplish is too low and gives a clue as to why their other website company bailed.
  • We estimated a price range: $15K – $20K, if we use a 3rd-party document management service.

Our Take:

  • Though she didn’t provide a lot of details, it’s enough to understand what they need and to get us started on investigation.
  • Budget is potentially realistic.
  • They want to start soon and setup a call.
